BillVeda Pro Hardware Compatibility Guide
1. Hardware Compatibility
At CODE4UTECH, we understand that every business has different billing requirements. BillVeda Pro is designed to work with a wide range of standard hardware supported by Windows.
You can use compatible receipt printers, barcode scanners and label printers without being restricted to a particular hardware brand. Depending on the device and the feature you want to use, you may need to install drivers or configure the connection, paper size or input settings.
Supported Hardware Categories
- Thermal receipt printers for customer bills and invoices.
- Barcode scanners for product identification and POS billing.
- Thermal label printers for product labels, price stickers and barcode labels.
- USB, Bluetooth and network connected devices where supported by Windows and the relevant hardware.
- Standard desktop peripherals, including keyboards, mouse and displays.
Compatibility depends on the device, its driver, the Windows environment and the BillVeda Pro feature being used. We recommend testing your intended hardware before deploying it for daily operations.
2. Thermal Receipt Printers
BillVeda Pro supports compatible thermal receipt printers for everyday billing. These printers use heat sensitive paper and generally do not require ink or toner.
Supported Receipt Widths
- 58 mm: Compact billing counters and small shops.
- 80 mm: General retail, supermarkets and pharmacies.
- 110 mm: Wider receipts where supported by the printer.
Connecting a Receipt Printer
1. Connect the printer using a supported USB, Bluetooth or network connection.
2. Install the required driver if Windows does not configure the printer automatically.
3. Open Windows Settings and navigate to Printers & Scanners.
4. Confirm that the printer is listed and print a Windows test page.
5. Open BillVeda Pro and navigate to Settings > Printer Configuration.
6. Select the correct receipt width and save the configuration.
7. Print a sample bill and check the alignment, text and paper feed.
Paper Size Configuration
The paper settings in Windows must match the physical roll and the configuration in BillVeda Pro.
Incorrect settings may cause blank spaces, cut off text or unexpected page breaks. Configure the paper width and any required roll or page length settings through the printer driver.
Silent Printing
Where supported by the installed BillVeda Pro Desktop version, silent printing can send print jobs to the Windows default printer without opening the operating system print dialog.
To configure it:
1. Install and test the intended printer.
2. Set it as the Windows default printer.
3. Confirm that silent printing is enabled and supported in the application.
4. Verify the receipt width and printer settings.
5. Print a sample invoice before using the feature for daily billing.
If the application provides a Confirm Before Printing setting, you can retain the confirmation step or disable it where supported.
Silent printing does not eliminate paper, connectivity or printer errors. Check the printed receipt before handing it to the customer.
3. Barcode Scanners
Barcode scanners help speed up billing by entering product identifiers without manual typing.
BillVeda Pro is designed to work with compatible scanners that transmit barcode data through a supported keyboard input interface.
Compatible Scanner Types
- Wired USB barcode scanners.
- Wireless scanners using compatible USB receivers.
- Bluetooth scanners supporting a compatible Windows input mode.
- Compatible 1D and 2D barcode scanners.
The barcode formats available in practice depend on the scanner and the BillVeda Pro version.
Connecting a Barcode Scanner
1. Connect the scanner using its supported interface.
2. Install any required drivers or complete Bluetooth pairing.
3. Open BillVeda Pro and navigate to the invoice or POS billing screen.
4. Scan a product whose barcode is already saved in the product catalogue.
5. Confirm that the correct product is identified and added to the bill.
Scanner Configuration
Some scanners require an Enter or carriage return suffix to process a scan automatically. If scanning only enters the barcode number, check the scanner manual and enable the appropriate suffix if required.
Ensure that the scanned barcode matches the product identifier stored in BillVeda Pro.
If scanner detection or sound feedback is available in your installed version, configure and test these settings before using the scanner in a busy billing environment.
4. Thermal Label Printers
BillVeda Pro includes barcode and product label generation features for inventory and retail operations.
Compatible label printers can be used to print product identification labels, price stickers and supported tag layouts.
Retail Label Dimensions
- 50 x 25 mm
- 50 x 35 mm
- 38 x 25 mm
- 40 x 20 mm
- 75 x 35 mm
- 75 x 50 mm
- 100 x 50 mm
Pharmacy Label Dimensions
- 50 x 25 mm
- 40 x 20 mm
- 50 x 35 mm
- 75 x 50 mm
- 75 x 35 mm
Jewelry Tag Dimensions
- 84 x 12 mm dumbbell tags
- 76 x 14 mm dumbbell tags
- 70 x 12 mm dumbbell tags
- 40 x 20 mm fold over tags
A4 Adhesive Label Sheets
- 65 labels per sheet, 38 x 21 mm
- 40 labels per sheet, 52 x 29 mm
- 24 labels per sheet, 64 x 34 mm
- 12 labels per sheet, 105 x 48 mm
These dimensions represent the label layouts specified for this guide. Confirm availability in the installed Barcode Generator. Actual printing depends on the printer's supported media sizes and printable area.
Printing Product Labels
1. Connect the label printer and install its required driver.
2. Load the correct label roll or sheet.
3. Open BillVeda Pro and navigate to Barcode Generator.
4. Select the product and label design.
5. Choose the available label dimensions and number of copies.
6. Select the appropriate printer in the print workflow.
7. Match the printer paper size to the physical label dimensions.
8. Print a sample and check alignment and barcode readability.
For small labels and jewelry tags, print resolution, scaling and media alignment are particularly important.
5. Custom Paper Size Configuration
Custom paper sizes are available only when supported by the printer driver.
1. Open Windows printer settings.
2. Select the label printer and open Printing Preferences.
3. Find the paper size or media configuration options.
4. Create a custom size if supported.
5. Enter the actual width and height of the label.
6. Save the settings and select the matching size when printing from BillVeda Pro.
7. Print a sample before printing a complete batch.
If the required size is unavailable, consult the printer documentation for supported media and configuration options.
6. Android Phone as a Barcode Scanner
Using an Android phone as a wireless barcode scanner depends on the availability of the BillVeda Pro companion application and its supported connection features.
Where available, the phone and computer may need to be connected to the same local network and paired through the application. Additional network or firewall configuration may be required.
Please refer to the applicable installation guide for the exact setup steps and supported software version.
7. Multi Counter and Network Printing
Businesses operating multiple billing counters may use separate compatible printers and scanners at each workstation.
Each workstation requires the appropriate hardware drivers and printer settings. Network devices must also be accessible through the local network.
Shared inventory, simultaneous billing and data synchronization depend on the applicable BillVeda Pro deployment, licensing and software configuration. Connecting multiple devices to the same network does not automatically enable these features.
Test each workstation before beginning regular billing operations.
8. Troubleshooting
#Receipt prints with large blank spaces
Check the receipt width, paper size and page length settings in Windows and BillVeda Pro.
#Barcode scanner does not add products
Confirm that the product barcode is saved correctly and that you are scanning from the appropriate billing screen. Check the scanner suffix configuration if required.
#Scanner enters numbers into a text field
Check the current screen, scanner input mode and scanner detection behaviour supported by your installed version.
#Labels print with incorrect margins
Verify the physical label dimensions, printer media settings and scaling options. Calibrate the printer if required.
#Bluetooth device disconnects repeatedly
Check battery levels, pairing status, Windows Bluetooth settings and available device power management options.
#Network printer is not detected
Confirm that the printer and computer are connected to the appropriate network and that the printer's address and driver configuration are correct.
#Silent printing does not work
Check that the intended printer is set as the Windows default printer and that silent printing is supported and configured in your installed application.

Frequently Asked Questions: Where Can I Find My Backup Files on My PC?
Q1: Where is my manually exported backup file saved?
Answer: When you click "Export Database Backup" in Settings:
* A standard Windows File Explorer save dialog opens. You can choose the exact folder where you want to save it (for example: your `Desktop`, `Documents`, an external USB pen drive `E:\StoreBackups`, or a cloud folder like Google Drive / OneDrive).
* If your system saves downloads automatically, the file is placed directly in your Windows **Downloads** folder:
`C:\Users\<YourUsername>\Downloads\`
* The file is named with the store name and exact timestamp:
`billveda_backup_YYYY-MM-DD_HH-mm-ss.json` (or `.db`)
Q2: Where does BillVeda Pro store the automated 24-hour backup snapshots?
Answer: The automated 24-hour background snapshots and local database files are stored in your secure Windows user application data directory:
Direct Path:`%APPDATA%\com.code4utech.billvedapro\`
(Full path: `C:\Users\<YourUsername>\AppData\Roaming\com.code4utech.billvedapro\`)
* How to open in 2 seconds: Press `Windows Key + R` on your keyboard, paste `%APPDATA%\com.code4utech.billvedapro`, and press Enter.
* Inside the BillVeda Pro Settings screen under "Data Backup and Export", you can also view recent automatic snapshot dates and restore any snapshot with one click.
Q3: Where is the live production database (`billveda.db`) located?
Answer: Your real-time local SQLite database containing all 14 business tables (products, invoices, customers, udhar ledger, stock movements, etc.) is located at:
* Database file: `%APPDATA%\com.code4utech.billvedapro\billveda.db`
* WAL write-ahead log: `%APPDATA%\com.code4utech.billvedapro\billveda.db-wal`
Q4: What is the recommended backup routine for shop owners?
Answer:
1. At the end of every business day after closing your counter, go to Settings and click Export Database Backup.
2. Save the `.json` file to a dedicated USB flash drive or your cloud drive (Google Drive, OneDrive, or Dropbox).
3. If your shop PC ever experiences hard disk failure, virus corruption, or water damage, install BillVeda Pro on a new computer, open Settings -> Restore Database Backup, select your latest `.json` file, and 100% of your products, stock counts, customer balances, and historical invoices will be restored in less than 5 seconds!
8. Multi-Counter Local Area Network (LAN) Configuration
To run multiple billing counters synchronized to a single store database:
Host PC Setup (Counter 1)
1. Ensure the Host PC is connected to the store Wi-Fi router or network switch via an Ethernet cable.
2. In BillVeda Pro on the Host PC, navigate to Settings and inspect the LAN Synchronization section.
3. Note the Host Local IP address displayed (for example: http://192.168.1.15:8765).
4. Verify that the Host Service status indicates Active.
Secondary Counter PC Setup (Counter 2, Counter 3, etc.)
1. Install BillVeda Pro on the secondary computer using BillVeda_Pro_1.0.0_w.exe.
2. Ensure the secondary computer is connected to the same store Wi-Fi or router network.
3. In BillVeda Pro on the secondary PC, navigate to Settings and select LAN Connection Mode.
4. Enter the Host PC IP address and port (example: http://192.168.1.15:8765) and click Connect.
5. Once connected, all invoice entries, stock updates, and customer records created on the secondary counter immediately save to the Primary Host PC database.
9. Troubleshooting Guide
Issue 1: Windows SmartScreen or Antivirus Prompt on Installation
* Cause: Windows displays a generic warning when running newly published setup binaries.
* Solution: Click "More Info" on the Windows SmartScreen blue dialogue box, then click "Run anyway". If third-party antivirus software blocks execution, add BillVeda_Pro_1.0.0_w.exe to the antivirus exclusions list.
Issue 2: Secondary Counter PC Cannot Connect to Host PC
* Cause: Windows Firewall on the Host PC is blocking incoming traffic on TCP port 8765.
* Solution:
1. On the Host PC, open Windows Defender Firewall with Advanced Security.
2. Click "Inbound Rules" in the left sidebar, then click "New Rule" in the right sidebar.
3. Select "Port", click Next, select "TCP", and enter port number 8765 in Specific Local Ports.
4. Select "Allow the connection", apply the rule to Domain, Private, and Public networks, name the rule "BillVeda LAN Sync", and click Finish.
5. Confirm that both computers are connected to the same router subnet (both IP addresses must start with the same network prefix, such as 192.168.1.X).
Issue 3: Forgotten 4-Digit Security PIN
* Cause: Operator or store owner cannot remember their daily login PIN.
* Solution:
1. On the BillVeda Pro login PIN screen, click the "Forgot PIN? Reset with Product Key" link.
2. Enter the original 16-character Product Activation Key assigned to your workspace.
3. Enter and confirm your new 4-digit Security PIN.
4. Click "Reset PIN" to regain full access to your workspace.
Issue 4: Thermal Receipt Printer Margin or Paper Cut Issues
* Cause: Windows printer driver page sizing default is set to standard Letter/A4 rather than thermal roll paper.
* Solution:
1. Open Windows Control Panel and navigate to Devices and Printers.
2. Right-click your thermal receipt printer and select "Printing Preferences".
3. In Page Setup or Paper Size, change the paper format to 80mm x 297mm (or 58mm x 210mm depending on your model).
4. In BillVeda Pro Settings under Printer Configuration, select 80mm or 58mm thermal format matching your printer hardware.
Issue 5: Barcode Scanner Not Adding Items to Invoices
* Cause: The USB barcode scanner is configured without an automatic Enter (Carriage Return) suffix code. The scanner must send an Enter key at the end of each barcode scan.
* Solution: Scan the "Add Enter Suffix" or "Add CR" barcode from the instruction manual booklet included with your barcode scanner. When the scanner transmits an Enter key after each barcode, BillVeda Pro automatically detects and adds the item to the bill. Refer to HARDWARE.md Part 2 for more scanner setup details.
Issue 6: System Date or Clock Mismatch Warning
* Cause: The computer system clock was manually changed or the motherboard CMOS battery has discharged, causing system time to read behind historical invoice records.
* Solution: Open Windows Date and Time Settings, enable "Set time automatically", and click "Sync now" to align with official Internet time servers.
